AI Integration & Consulting

Put AI inside the systems you already run.

We connect AI to the tools your team already uses, from email and spreadsheets to your accounting and order systems, so the busywork gets done without a new platform to learn.

The time goes in the gaps between your systems

Most small companies don't need another app. They need the apps they have to stop depending on someone retyping, searching and copying between them.

Retyping between systems

Orders, invoices and customer details arrive in one place and get keyed into another by hand.

Answers buried in inboxes

The spec sheet, the pricing email, the last conversation with a customer. It exists somewhere, and someone spends the morning finding it.

AI pilots that stall

A chatbot trial that never touched real work, because it wasn't connected to the systems where the work happens.

Example: orders at a distributor

Imagine a building products distributor in Northern Colorado. Contractors send purchase orders by email: PDFs, photos of handwritten sheets, the occasional forwarded text. Two people in the office read each one and type it into the order system, line by line. The busiest weeks are also when the mistakes happen.

We wouldn't replace their order system. We'd add a step in front of it.

  1. AI reads each incoming order and matches the items to the distributor's own product list.
  2. It drafts the order in the system they already use and flags anything it isn't sure about.
  3. A customer service rep reviews the draft, fixes the flags and approves it. Nothing goes through without that approval.
  4. The team spends its time on the phone calls and the exceptions, and the contractor who wants a person still gets one.

Same people, same order system, a lot less typing.

Works with the tools small companies actually run

You don't need an ERP. Plenty of useful integrations start with an inbox and a spreadsheet.

Email and documents

Microsoft 365, Google Workspace, PDFs and scans

  • Sort and route incoming email
  • Pull the details out of orders, invoices and forms
  • Search across contracts, procedures and old proposals

Accounting

QuickBooks and similar tools

  • Match bills and receipts to the right accounts
  • Draft invoices from completed work
  • Flag anything that looks off before month end

Customers and sales

CRMs like HubSpot, or a well-kept spreadsheet

  • Turn call notes into updated customer records
  • Draft follow-ups and quotes for review
  • Keep each customer's history in one place

Operations and industry software

Order, scheduling, job and ERP systems

  • Enter orders and work orders from what customers send
  • Summarize schedules, backlogs and open jobs
  • Connect ERP systems like SAP, Oracle, Infor and JD Edwards if you have one

How an engagement works

  1. Find the task

We sit with your team, map where the time goes, and pick one task worth automating first.

  2. Prove it

We test the AI on your real documents and data, so you see how well it works before anything is connected.

  3. Connect it

We build it into the system you already use, with a review step for your team.

  4. Hand it off

We train your staff, document how it works, and check in once it's running.

Every engagement has a fixed scope and a fixed price, agreed before we start. You can stop after any step.

Most sprints take three to six weeks and estimate to $14,000 - $28,000. Private deployments, where the AI runs on hardware in your office so client data never leaves the building, are quoted separately because they include equipment and setup.

Care plans start at $500 per month, depending on how many automations we support and how quickly you need changes turned around. Plans are month-to-month after the first three months.

Your people stay in charge

AI does the reading, the typing and the first drafts. Your team keeps the judgment and the customer relationships.

  • A person approves the result. Nothing reaches a customer, a vendor or your books without someone on your team signing off.
  • Your data stays yours. We pick tools and settings that keep your data out of outside AI training.
  • Local when it needs to be. When the data is sensitive, the AI can run on hardware in your office instead of the cloud.
  • No lock-in. Everything we build is documented, so you're never stuck needing us to keep it running.
